Rental Policies & Procedures

Check In: Between 4:00P.M.–5:00P.M. We will do the best we can to accommodate arrival times of our guests. We cannot, however, guarantee that the unit will be cleaned and ready at any specific time as this is somewhat outside our control. Check-in is at our Keye Beach Rentals office at the side entrance of Ocean Keyes Sales Center.

Check Out: 10:00 a.m. Return keys and white swipe card to our Keye Beach Rental office by 10AM on day of departure.

Rental Days: Weekly rental is restricted to Saturday to Saturday during the summer season. There are times during the year when monthly or 3-day minimum stays can be accommodated. We also offer monthly stays from October 1 – April 1.

Reservation Deposit: Deposit is due within 10 days of making your reservation. If payment is not received within 10 days, the reservation will automatically be cancelled. Payments may be made with a personal check, Visa, MasterCard or Discover. In either case, a valid Visa, MasterCard or Discover number and expiration date and billing address of card holder needs to be on file with us.

Weekly Reservation – Fifty percent (50%) of the total charges (rental fee, taxes, housekeeping, non-refundable processing fee and Vacation Rental Damage Protection) plus the total cost of Travel Protection Insurance if selected.

Monthly Reservation – Call a Keye Beach Rentals reservationist for a schedule of payments to include: rental fee, taxes, non-refundable processing fee, housekeeping, Vacation Rental Damage Protection Plan and, if selected, the total cost of the Travel Protection Insurance.

Balance of Payment: The balance of reservation charges are due as follows:
  Weekly – Remaining balance of reservation is due at least 30 Days prior to your check-in date. Any unpaid balance resulting from additional services must be paid before check-in with traveler’s checks, certified funds, bank check or credit card.
  Monthly – Check with the Keye Beach Rentals reservationists for a schedule of payments.

Returning Customers: Please call our rental office and speak to a reservationist to book and receive the repeat customer discount. Online reservations cannot be adjusted to apply this discount.

Returned Check: There will be a $35 fee for each returned check.

Tax: All rental charges are subject to applicable sales and accommodations taxes that are in effect at the time of your stay. Currently the State & Local taxes are 12%. These taxes are subject to change and are outside of our control.

Travel Protection: Keye Real Estate offers Travel Protection Insurance through CSA, as an optional purchase that would protect you should you have to cancel your reservation due to an unforeseen event. NOTE: The last opportunity to purchase Travel Protection Insurance through CSA is when final balance is paid on your reservation or 30 days prior to arrival whichever comes first. Please review the CSA Vacation Rental Insurance attachment regarding coverage and feel free to call one of their customer service representatives for details. If you choose not to purchase the coverage, the Keye Beach Rentals Cancellation Policy will apply.

Cancellation Policy: Confirmed reservations are not transferable. Confirmed reservations may be cancelled by written notice. Your reservation deposit will be refunded, less $150 cancellation fee and the non-refundable processing fee, ONLY if the same unit is re-rented for the same time period and for the same dollar amount. You may want to purchase Travel Protection Insurance to protect your vacation investment against emergencies and mandatory evacuations due to hurricanes.

Key Charge: There is a $50 fee for each lost or unreturned key or swipe card. There will be a $40.00 fee to the renter (payable in cash at the time of service) if you lock yourself out of the unit and a Keye Beach Rentals employee needs to open the unit for you during non-business hours. If a locksmith opens the unit at any time, the charge will be determined by the locksmith.

Upon Arrival: Please check your unit thoroughly upon arrival. Every effort is made to see that your unit is cleaned and undamaged for your stay. Please report any discrepancies immediately to our office to ensure that any problem is resolved and that you will not be held responsible.

Upon Departure: Put all dirty dishes in the dishwasher and turn dishwasher on. Take all trash to the trash chute located on your floor or to the dumpster nearest your building. Turn off lights. Close all doors. Return keys and swipe card to the Rental Office. You will be charged if the unit requires heavy cleaning.

Parking: No motorcycles or trailers are permitted at any of our resorts. At our Oceanfront resorts, Laguna Keyes and Crescent Keyes, the parking garage clearance is 6′ 8″. Therefore, roof carriers on SUVs cannot be accommodated. NOTE: Golf Cart Parking is not Guaranteed Guests staying in Beach Villas section of Ocean Keyes (bldgs.15, 21-29) can park golf carts in the paved area near their building for up to 2 weeks at a time. They cannot be parked in front of the building as these spaces must be left open for parking cars.

Guest staying in the Seashore Villas section Of Ocean Keyes (bldgs. 16-20; 30 – 46) cannot park golf carts in the Ocean Keyes community due to Homeowner Association regulations. For assistance of condo location please contact one of our reservationists.

Housekeeping: Our housekeeping fee includes linens and departure cleaning service and are required as part of the rental. Bed linens and bath towels are provided per bed (sleeper sofa excluded) as follows: 3 bath towels, 2 washcloths, 1 hand towel, 1 flat and 1 fitted sheet, 2 pillow cases. One bathmat per bathroom, 1 kitchen towel and 1 dishcloth are also provided. You may wish to bring beach towels with you, as no bath towels are to be taken from the unit for use at the pools or the beach. You can bring your own linens for the sleeper sofa or we can provide them at a cost to you of $15.00 per sleeper sofa.

Toiletries: An initial supply of toiletries are provided in the unit upon arrival – (Per bathroom – 1 roll of toilet paper, 1 shampoo, 2 bars soap and in kitchen – 1 roll of paper towels, bottle of liquid dish soap & dishwasher tablets). Additional toiletries and kitchen items needed will be the responsibility of the guests to supply.

Non-Smoking Units: All our vacation condominiums are non-smoking units. Violators will be charged $350.00 to cover the cost of a special cleaning to deodorize and rid the unit of smoke.

No Pets: Our Condominium Associations do not allow daily, weekly and monthly renters to have pets in the units. Breach of this condition is grounds for eviction, without refund. Additionally, your credit card will be charged to cover extermination for fleas.

Privately Owned Property: All our vacation condominiums are privately owned and reflect the individual tastes of the owner. Property items such as glasses, dishes, silverware, pots and pans, pillows, bedspreads, chairs, towels, etc. are not to be taken out of the unit. We cannot be held responsible for changes made by owners to the furnishings and equipment or for appliance breakdowns. Should a mechanical failure occur, we will make every effort to have service restored as quickly as possible.

No refunds or credits will be made for mechanical failures.

Note: There may be times when a rental unit is on the market for sale. The unit will be shown with the least amount of inconvenience to you, the Renter. You will be notified if there is a need to show the unit you are renting. An appointment will be set up for a showing 24 hours in advance.

UNIT SOLD OR CANNOT BE OCCUPIED:  In the event that a rental unit cannot be occupied FOR ANY REASON or is sold, Keye Beach Rentals reserves the right to transfer reservations to other units or refund advance prepayment. Every effort will be made to contact customer prior to arrival, however, we will not be responsible if customer cannot be contacted. Tenant agrees to pay any difference in rental amount. Tenant shall not be entitled to any refund due to unfavorable weather, maintenance problems, area construction, ready departure, or disruption of utility services (including phone, internet and cable), after occupancy.

Additional Rental Items: Items such as cribs, highchairs etc. are available from outside vendors and need to be requested prior to arrival. We will be happy to furnish you with the names of some of these vendors so you can make your own arrangements for such equipment. Maximum Occupancies: The maximum number of people that can stay in a rental is 6 people in a 2 Bedroom unit, 8 people in a 2 Bedroom + Study unit and 10 people in 3 Bedroom unit.

No House Parties: Absolutely no student or house parties are allowed. We rent to families and mature adults over the age of 25. No children will be permitted to check in without their parents.

Rules and Regulations: All of our rental units are condominiums and are part of a Home Owners Association. Each of these Home Owners Associations has Rules and Regulations which must be followed. A copy of the Rules and Regulations for the unit you are renting is provided in each condo. Please read it carefully. Your observation of these Rules and Regulations will be appreciated by everyone and will make your stay a happy one. Keye Beach Rentals is not responsible for the condition of any on-site amenities. The on-site amenities are provided and serviced by the separate HOA management companies.

Termination: We have the right to, and will, terminate any rental with no refund, if the renter’s actions are detrimental to the property or contrary to the Rules and Regulations or in violation of the Policy and Procedures outlined in this Lease Agreement.

Lost and Found: We cannot be held responsible for items left behind. We will make every effort to locate and return them to you for a $15 service fee plus shipping cost.

Confirmed Reservation: A reservation will not be confirmed until this Policy & Procedures agreement is signed, dated and returned.
